Open House Picnic

Jason and I had to gather a group of around 20 volunteers for the Open House Picnic. This is an activity that required planning and action. I was not satisfied with my performance in the planning process due to several reasons. First, we didn’t communicate with the lower school teachers effectively, therefore a lot of plans were gathered last minute. For example, we were supposed to come up with activities for lower school students but at the end the lower school teachers already planned these. Hence, the lack of communication caused some confusion and delay. To gather the volunteers, I sent out two emails to the Student Area and received some replies. However, there were not enough students simply from the email, hence Jason and I had to go around the school and ask people individually, which was more effective. I believe we should find more effective ways of gathering volunteers in the school. However, the lack of volunteers willing to sign up right away also relates to the school’s spirit. Thus, the House system and the High School Student Council could potentially fix this problem.
During the day of the Open House Picnic, I had to walk to different stations to make sure the volunteers are there at the time of their shifts. That wasn’t a problem because we had a meeting prior to that day, making sure the student volunteers knew where they’re going and what they’re doing. However, there is one major issue I saw, and that is their engagement especially when helping out with younger students. A lot of student volunteers preferred to play around with people at their age instead of engaging with younger students, like they’re supposed to. This also relates to the spirit of the whole school. Hence, a solution to this is probably informing the volunteers what they could do with the younger students in the meeting beforehand, and telling them the main purpose of this particular volunteer work.
